The most common financial mistake we see in urgent care is treating every visit as equivalent. A walk-in commercial patient with a strep test, a workers' comp visit with imaging, and a self-pay flu visit are three completely different financial events. Centers that price, schedule, and staff around the right visit mix consistently outperform peers running on raw volume targets. Why this matters for your bottom line

Urgent care centers live and die by visits per day. A center running 35 visits per day vs. 50 has fundamentally different unit economics, even at the same per-visit revenue.

Payer mix in urgent care is more diverse than most outpatient settings: commercial, Medicare, Medicaid, workers' comp, occupational health, and self-pay. Knowing the per-visit profitability of each is essential.

Occupational health and employer contracts can be a high-margin growth lever, but only if the contracts are priced and structured correctly. Many centers underprice these arrangements.

Multi-site urgent care operations face complex labor scheduling and supply management. Operational efficiency at scale is a key competitive advantage and often the limiting factor for growth.

Run visits per day per location and identify the variance across sites

Map average revenue per visit by payer and the contribution margin per visit type

Inventory occupational health revenue and per-employer contract terms

Break your overhead into rent, labor, supplies, malpractice, marketing per location

Audit wait times and patient experience scores and tie them to revenue impact (return visits, reviews)

Compare your per-center EBITDA against urgent care industry data for your size and market

What it costs to send someone

Registration is the line everyone budgets first. It is rarely the one that decides whether the trip was worth it.

The Urgent Care Association has posted a save-the-date and nothing more: dates and city, no venue and no rates. Hold the budget line rather than the hotel until the venue is named.

Coverage and lost production

Urgent care runs on shift coverage, and the door stays open whether or not you staff it. If the owner is on the schedule, the trip costs a locum rate or an unstaffed shift, and both price cleanly from your own visit volume and net revenue per visit. That makes this one of the easier conferences to build an honest number for.

Who else travels

Multi-site operators tend to send a clinical lead and an operations lead, which is sound. The travel is the small half of that decision. The shifts they were both covering are the large half.

What comes back as a deduction

IRS Publication 463 allows the travel deduction for a convention where “your attendance benefits your trade or business,” on the ordinary rules for travel away from home. Meals are generally limited to 50% of the unreimbursed cost. Keep the agenda with the receipts, and confirm the treatment with whoever signs your return.

No rates are quoted here. The organizer had published none when we last checked this page against their site on 10 August 2026, and travel is yours to price for your own dates anyway. The point of the list is that the two lines owners leave out, coverage and headcount, are the ones that decide the real number.
